Document automation: from OCR to AI-powered interpretation
Extracting text from a document is only the first step: the value appears when validated information triggers the right process.

Digitizing a document is not automating it
OCR solved an important part of the document problem: turning an image or a scanned PDF into text. But a company rarely needs only the text. It needs to know what document it is, which fields it contains, whether that data is valid and which process should be triggered next.
Extracting is not understanding
Modern extraction can identify supplier, customer, dates, amounts, references, concepts and document type. The difficulty appears when the document does not follow a perfect template. Invoices, contracts, purchase orders and forms can have different structures, and the system must tell normal variation from genuinely anomalous data.
Validate before executing
Validation is a separate layer. Required fields, formats, amounts, duplicates, matches against master data and business rules can all be checked before the flow is allowed to continue. When a check fails, the exception should be logged and reach a person with the context needed to resolve it.
Connect with the business process
Business value appears when the document stops being an isolated file. A validated invoice can move to the finance system; a request can create a task; a contract can trigger a review workflow. Automation connects reading, decision and execution in a single process.
Handle the exceptions
Not all documents need the same treatment. A highly repetitive and highly structured file allows more automation; a complex contract may require human review. The level of involvement should depend on the risk of the process and on how verifiable the result is.
Measure document quality
Quality should be measured by correct fields, exceptions, processing time and the percentage of documents that reach the right destination without rework. The metric that matters is how much operational work it reliably removes. OCR character count is not the point.
